- Prohibited materials: Identify filler materials that require disposal time—loose polystyrene, non-recyclable void fill—and specify acceptable alternatives.
Communicating these standards requires a formal supplier onboarding process, not a casual email. Standards should be incorporated into vendor agreements, referenced in purchase order terms, and revisited at supplier review intervals.
The Charge-Back Mechanism
Standards without enforcement are suggestions. For suppliers who repeatedly ship outside agreed packaging specifications, a charge-back mechanism provides the financial signal that adjusts behavior.
A straightforward charge-back structure might assess a flat fee per non-conforming pallet at receiving, with documentation provided to the supplier showing the specific deviation and the labor time required to correct it. The fee does not need to be punitive to be effective—it simply needs to make the cost of non-compliance visible to the supplier's operations team.
Many businesses resist implementing charge-backs out of concern for supplier relationships. The more productive framing is that a charge-back system protects the relationship by creating a clear, objective standard that both parties can reference. Suppliers who understand the cost they are creating for their customers are generally motivated to address it. Suppliers who are never told have no reason to change.
